Metadata, DOI & Crossref Quality Control

KLAUSULA applies metadata, DOI, and Crossref quality-control procedures to ensure that article information is accurate, complete, traceable, and consistent across the OJS platform, article PDF, DOI registration metadata, indexing services, and external scholarly databases.

Required Article Metadata

Title

Article title must be complete, accurate, and identical across OJS, PDF, DOI metadata, and indexing records.

Authors

Author names, order, affiliations, email, and ORCID where available must be entered correctly and consistently.

Abstract

The abstract in OJS should correspond to the final published article and must not contain outdated or draft text.

Keywords

Keywords should match the final article and support discoverability in search and indexing systems.

References

References should be complete, correctly formatted, and where possible include DOI or stable identifiers.

Publication Data

Volume, issue, year, publication date, pagination or article number, language, and section must be correct.

Metadata Quality Checklist

  • Article title in OJS matches the title in the final PDF.
  • Author names and author order are identical in OJS, PDF, and DOI metadata.
  • Affiliations are complete and consistently written.
  • Corresponding author information is accurate.
  • ORCID identifiers are entered only when valid and belong to the correct authors.
  • Abstract and keywords in OJS match the published article.
  • Volume, issue, year, and publication date are correct.
  • Page range or article number is entered consistently where applicable.
  • Language metadata is correct.
  • References in metadata correspond to the final reference list.
  • DOI is correctly assigned and displayed without typographical errors.
  • Article landing-page URL resolves correctly.

DOI Assignment

DOI should be assigned to the final published article according to the journal's DOI registration workflow. A DOI must not be reused for another article and must remain permanently associated with the same scholarly object.

DOI Resolution

After DOI registration or update, the editorial team should test the DOI link and confirm that it resolves to the correct KLAUSULA article landing page.

DOI & Crossref Consistency

Metadata deposited to Crossref should reflect the final published record. The following elements should be checked for consistency:

  • article title;
  • author names and order;
  • ORCID, where available;
  • journal title and ISSN;
  • publication year and publication date;
  • volume and issue;
  • page range or article number;
  • DOI and article URL;
  • references and cited DOI information, where deposited.

Reference Metadata Quality

Reference metadata should be reviewed carefully because incomplete or incorrect references may reduce citation linking, DOI matching, and discoverability in external databases.

  • author name(s) are entered correctly;
  • publication year is accurate;
  • article, book, chapter, or document title is complete;
  • journal title, volume, issue, and pages are correct where applicable;
  • DOI is included when available;
  • URLs are stable and relevant where necessary;
  • references should not contain obvious duplicate or incomplete entries.

DOI & Metadata Verification Procedure

  1. Review the final article PDF and OJS metadata before publication.
  2. Confirm title, author names, affiliations, abstract, keywords, references, volume, issue, year, and page/article number.
  3. Assign or confirm the DOI for the final article.
  4. Deposit or update the final metadata in the DOI registration system.
  5. Test the DOI to ensure it resolves to the correct article landing page.
  6. Check the Crossref record after registration or metadata update.
  7. Correct and redeposit metadata when errors or inconsistencies are identified.
  8. Document significant metadata corrections when they affect the published scholarly record.

Metadata Correction

If metadata errors are found after publication, the editorial team should correct the OJS record and, where relevant, update or redeposit the metadata to Crossref and other services. Corrections should preserve the same DOI for the same published article unless a different scholarly object legitimately requires a separate identifier.

Editorial Responsibility

The editorial team is responsible for ensuring that article metadata is checked before publication and periodically reviewed when metadata are updated, migrated, or deposited to external scholarly infrastructure. Consistency between OJS, PDF, DOI, Crossref, indexing services, and journal identity is an essential part of KLAUSULA's publication quality control.
